Repeated data entry and missed messages can signal a workflow problem. Before commissioning software, describe where work stalls and what a successful result would look like.
Check whether customization is necessary
List repeated tasks, common errors, and work that only one colleague knows how to do. Compare existing tools first. Custom development becomes worth evaluating when workflow rules, permissions, or integrations cannot be handled adequately. Include data cleanup, training, and maintenance in the decision.
Describe a real example
You do not need technical vocabulary. Explain a recent task: who started it, which tools were used, who needed an update, and where the process failed. Remove unnecessary personal information from sample data before sharing it.
Build one complete workflow first
An MVP is a usable initial version. For example, create a request, obtain approval, notify the requester, and retrieve the record. Advanced reports can wait, but permissions, reliable storage, and essential exception handling still belong in the first release.
Accept the system through daily scenarios
Ask the people who will use it to test missing fields, rejected requests, edits, and simultaneous changes. Agree on expected outcomes. A polished demonstration alone will not reveal everyday operational problems.
Plan migration and ongoing support
Inspect old data for format differences, duplicates, and gaps. Define the migration scope and reconciliation process, then assign account administration, backups, support, and change costs. Pilot with a small group before expanding.
Before you start
- Choose one costly or error-prone workflow.
- Map people, tools, and a sanitized example.
- Separate essential first-release work from later ideas.
- Agree on acceptance, migration, and maintenance.
Your next step
Bring a real workflow and a sample with sensitive information removed. We can compare simpler options and identify the smallest useful scope for development.
