Answering the same questions every day? Where to start with an AI knowledge base

Choose one recurring topic, organize current documents, and define permissions before importing your whole shared drive.

Answering the same questions every day? Where to start with an AI knowledge base

An AI knowledge base can help people find answers in existing material. Its usefulness depends on the quality, scope, and access rules of that material.

What can it help with?

People ask questions in everyday language; the system retrieves relevant imported content and organizes an answer with evidence to check. Repeated internal procedures or product questions are useful starting points. Missing rules and exceptions still need an accountable person.

Choose a focused first collection

Start with onboarding or one product process. Collect valid instructions, manuals, and FAQs for that topic instead of uploading every shared folder. Expand after the first collection can answer its intended questions clearly.

Inspect PDFs, spreadsheets, and attachments

Scanned pages, tables spanning pages, and instructions inside images may not extract correctly. References such as “follow the attachment” need the attachment and applicable conditions. Trial a few representative files and check whether structure and meaning survive.

Remove conflicting and outdated rules

Mark version, effective date, audience, and owner. Exclude obsolete material and explain department-specific differences. Assign who updates documents and how replacements become available to the system.

Set access boundaries before testing

Not everyone should retrieve every document. Identify confidential content, user roles, and who can upload or view material. Start with a small permitted collection and test ordinary questions, missing answers, and source references before expanding.

Before you start

  • Choose one recurring question category.
  • Collect current documents and attachments.
  • Record versions, owners, and access restrictions.
  • Prepare real questions and verify source-backed answers.

Your next step

Bring a small set of permitted documents and frequently asked questions. We can assess document readiness and a manageable pilot before discussing a larger knowledge base.
